Through the years, automation of business processes is increasingly more common. Generally, companies diving into automation hoping that, on it's own, will improve overall performance, reduce costs, and make certain high quality. While those tend to be achievable objectives, these are generally rarely accomplished. The reason behind this not enough results is oftentimes related to just one painful problem: Automating ineffective, obsolete processes produces automated inefficiency.

Numerous process automation efforts are driven by I . t employees who merely are not familiar with business needs and their record. This will be especially true for building nations’ government establishments, which oversee processes which were initially considering paper kinds and they are frequently suffering from many settings and validations.

A Guatemalan usage case

As an earlier step up planning the Guatemala Ministry of health insurance and personal Assistance’s utilization of iHRIS handle, we identified agreements processing as a vital procedure. We decided to automate this method as an incident research for training Ministry staff to administer the software.

The initial step would be to develop an use situation, a listing of actions the designers could follow to implement the process. We very first analyzed the existing processes for handling agreements then discussed all of them with key employees from the Contracts Department. The existing procedure circulation needed the agreement files to move to and fro between departments after completing small milestones.

Some thing caught our interest straight away: Each contract would have to be verified repetitively once the file relocated in one division to another. It was explained that those verifications ensured that files stayed total during changes between phases. If an automated agreement handling process was implemented, but those verifications were not likely to be needed any longer.

Together with Contracts employees, we designed a simplified and much more streamlined process that relied heavily on information currently managed by iHRIS handle. The new procedure needs less managing of actual paper data; only the last agreement and Ministry’s resolution had to be imprinted. Those papers would then be scanned and added to the contractor’s record in iHRIS handle.

The Contracts Module in iHRIS control is expected to dramatically decrease the time it will take to process an agreement, from four months to under a week, while reducing the risk of missing or damaged files by removing report files through the treatment. This will additionally reduce mistakes and prices, since files not need to travel backwards and forwards multiple times between divisions.
